The Confluence values your trust. This policy details the personal data collected and processed in connection with our website and event coordination, how we use and protect it, and the rights you hold over your information.
01Information We Collect & Process
Website Inquiries: When you submit a message through our contact form, we collect your name, email address, optional phone number, subject, and message content.
Event Applications: Registration applications for The Colloquium are collected and hosted via an external Google Form. Any details submitted there are stored by Google in accordance with Google's Privacy Policy. The Confluence organizing committee accesses and processes this applicant data (including name, age, contact details, stream of study, and written perspective responses) solely to review, score, and select the attendee cohort.
02Purpose of Data Processing
We process your information solely for the following purposes:
- Reviewing and scoring applications to select the attendee cohort.
- Communicating your selection outcome: approval, waitlist, or rejection.
- Sharing logistics, venue details, and check-in instructions for confirmed attendees.
- Managing event seat capacity and entry verification at the venue.
We do not use your data for advertising, profiling, or any purpose beyond the above.
03Data Retention
- Waitlisted and rejected applicants: All personal details, including contact numbers and written responses, are permanently deleted from our database 60 days after the event concludes.
- Selected attendees: We retain contact details to verify entry, follow up on post-event initiatives, and notify you of future Confluence events. You may request removal at any time.
04Third-Party Services
We do not sell, rent, or trade your data to any party. We share data only with the following service providers strictly necessary to operate the platform:
- Resend dispatches transactional confirmation emails, coordinator notifications, and status updates.
- Neon (PostgreSQL) hosts our encrypted database. Access is restricted exclusively to authorised organising committee members.
- Vercel serves this website. Vercel may log standard request metadata (IP, user-agent) in accordance with their own privacy policy.
- Google Forms hosts and collects registrations. Google may process your data according to their own privacy policies.
05Security
All communication between this website, our backend, and third-party APIs is encrypted via TLS. Administrative access to the registration database requires authenticated credentials and is protected by a bcrypt-hashed password. No passwords or payment details are stored on our servers.
06Your Rights
Under applicable Indian privacy law, you have the right to request access to, correction of, or deletion of the personal data we hold about you at any time, including before our automatic deletion deadlines.
To exercise any of these rights, email info@theconfluence.co.in. We will respond within five business days.
07Changes to This Policy
We may update this Privacy Policy as our operations evolve. Any material changes will be reflected in the "Last updated" date above. Continued use of this website after an update constitutes acceptance of the revised policy.
